Sound More Confident at Work—Use These 5 Phrases

“One has to be both smart and confident in order to have a successful career.”

These are wise words every woman should internalize, says Sallie Krawcheck, CEO, and Co-Founder of Ellevest, a recently launched innovative digital investment platform for women.  “People are drawn to confidence; people are drawn to over-confidence. The spell of over-confidence is so great that we fall under its spell, according to an article in New York magazine, even after the person has demonstrated that their confidence in themselves is ill-placed,” Krawcheck tells Fortune.

Confidence is something we admire in others and always want more of for ourselves.  And while some people may just be born confident, it’s a trait that the rest of us have to work for and daily confidence habits are key to becoming more confident.  As all the top performers in the working world will tell you,  confidence is something that extends from your nonverbal verbal cues.  So, where better to start building your confidence than in the words you use.   Especially in the professional world, your words have the power to make you a badass or a pushover.  As far as we’re concerned what you say should always exude badass confidence.  So,  whether you are an entrepreneur, starting a new job, freelancer, or a seasoned professional, a good place to start on this confidence revolution is via verbal communication.

Before we move into what to say, let’s start with what not to say.  Do not (and we mean almost never)  say. “I’m sorry.” It’s a really bad habit that women tend to internalize more than men. Maybe you’ve said “I’m sorry” when asking your boss for an extension, or you say it every time you pass by someone in the break room, but this habit needs to stop now. When you apologize for no reason, people will start to see you as a pushover, and that, you are not.

Now that you know what to scrap, keep reading for five phrases that will make you more professional, knowledgeable and confident.

1. Use “I Won’t” Instead of “I Can’t”

Before you think this is too harsh of a phrase and thereby write it off, hear me out for a minute. The reason this phrase is one that will make you sound more confidence is it is both assertive and active, rather than passive and indecisive. An example of an alternative phrase that is overused by women is “I can’t”, which is a fear-based way of essentially saying the same thing.

Even if your intention isn’t to portray your inability in doing something, using “I can’t” portrays insecurity surrounding your decision. It is a shaky way of delivering a particular message to others and will naturally signify a low degree of self-confidence. Using “I won’t” instead is a much stronger way of saying that you won’t do the task.   Human Behavior specialist, Melody Wilding tells Forbes, “Increase ownership over what you say by replacing “I can’t” with “I won’t.” This is a subtle yet powerful way to demonstrate agency, independence, and control – especially in work environments where you may feel ordered around.” Never be afraid of standing your ground, ladies

2. Use “I Believe” Instead of “What If I Tried”

In order to speak with confidence at work, it is vital that the words and phrases you use are synonymous with conviction and assuredness. Like the previous phrase on our list, “I believe” spells out pure, unadulterated confidence. There is nothing fear-based or little about believing in something, with positivity emanating from the phrase itself. If you already make use of this phrase, then you are golden, but many of us working gals oftentimes substitute alternates in order to state our ideas.

Examples include “What if we tried…?” and “Perhaps we can try this…” Both of these phrases carry an element of doubt within them and thereby invite the recipients to question the statements and possibly reject or criticize them. When a question mark is in your actual articulation, don’t be surprised if it isn’t taken seriously. It is so much smarter to be straightforward when trying to get your point across, being sure to take the no-shame approach. “Stating an idea as a question when it’s not is equal to sacrificing ownership over the idea. It’s also a way of “polling,” which subconsciously speaks to the fact that you don’t think your own ideas are valuable, valid, or worthwhile unless everyone thinks so, ” Wilding tells Forbes. If you are searching for other equally bold phrases outside of “I believe”, give “I’m convinced”, “I expect”, and “I am sure” a try. Are you all ready to say it as you mean it?

3. Use “Definitely” Instead of “I Guess”

Everyone respects a professional woman that is sure of herself.  The word “definitely” is truly your best friend if you aim to emanate confidence at work, as it is a word that is anything but hesitant. Executive coach and author Joel Garfinkle agrees with me on this one, telling Business Insider.

“If you want to project confidence, use the word “definitely.” This way the person you’re communicating with knows you are 100% certain in your statement.” A few examples of weaker words or phrases you may want to avoid include “kind of”, “sort of”, “I suppose”, “usually”, and “I guess”, among countless others. With tact and kindness held high, there is really no limit to using definitive speech. If the word “definitely” isn’t your jam, find your own individual substitute.

4. Use “I Look Forward to Hearing Your Thoughts” Instead of “Am I Making Sense”

“Am I making sense” is one of the weakest phrases s in a professional context. It tells the listener you’re not certain what you’re saying is true and, in fact, you are confused yourself. If you want to project confidence, use the phrase “I look forward to hearing your thoughts or questions.” This way the person you’re communicating with knows you care if they understand the statement.

5. Use I Appreciate Instead of “I Was Just Doing My Job”

Remove the crutch phrase, “I appreciate it,” from your vocabulary right now. There is nothing wrong with acknowledging your own hard work.  Polite professionals don’t win at work, confident professionals win, so next time you catch yourself falling into the trap of using this weak phrase, say, “I appreciate it” or “thank you” instead.  When you’re confident in your job work and take ownership of work, it will present you as a strong, professional and confident person.

STYLE SALUTE: Tell us about your first career path.

MHB: It started as a child, as a little girl that loved dancing more than anything. I set my sights on coming to New York City, and being a professional ballerina; I knew I wanted to dance with one of the big companies. At fifteen years old I was invited on scholarship to attend the School of American Ballet in New York City. The following year I was invited to join New York City Ballet. That was the start of my professional dance career which kicked everything off.

STYLE SALUTE: Tell us about your current career path and business?

MHB: Ballet Beautiful is a ballet-inspired fitness and lifestyle business that was born from my experience as a professional ballerina. We offer an incredible monthly subscription with customized online workouts, books, DVDs, activewear on our website www.balletbeautiful.com.  We also offer private and small group training in our flagship Soho studio in NYC.

I have always loved dancing and sought to find a way to share the athleticism and grace of dance with people beyond the boundaries of the professional dance word.  Making ballet a fun and healthy part of people’s everyday lives is a huge driver behind Ballet Beautiful.

My background as a professional ballerina played a huge role in how I developed the workout and company. After dancing with New York City Ballet for ten years I retired to complete my Bachelor of Arts degree at Columbia University. If you are thinking about going back to school I would say it’s never to late!  In college I took a lot of time off from dancing and working out – my body and mind needed a break. When I realized that my body needs to move and I was ready to begin working out, my body had also changed. I had gained weight and was uncomfortable going back into ballet class. I was also totally unmotivated to go to the gym! Rather than forcing myself to train my body in a certain place or a certain way I leaned into that feeling.  I started working out from home and picked up with a simple system of exercises that I had created for myself as a ballerina to use backstage and in my free time as a professional ballerina.  My ballet muscles, which had not been in use, responded quickly to the workouts. While before I was spending ten hours in the dance studio every day, I was now working out for forty-five minutes from the comfort and privacy of my home. Seeing this change in my body was very motivating and exciting and that was the beginning of Ballet Beautiful.

It has been very exciting and rewarding to build this company, particularly as the growth has been so organic.

For me Ballet Beautiful is not about not just thinking about myself, but how I can share the athleticism and grace of dance with others. Ballet Beautiful is about empowering women through fitness and making them feel more confident and strong. There is nothing more rewarding than seeing the impact that our workouts and company are having on women’s lives around the world.

STYLE SALUTE: How did you make the transition from dancer to entrepreneur to opening your own studio?

MHB: The first problem to solve the workout itself. Once I realized I had created a great workout that was changing my own body I began to share it with others. I was very fortunate to connect with very inspiring clients early on. Natalie Portman was one of my first clients and we trained together to prepare her for her starring role in the film, Black Swan. Because the company was very young, I was free to devote a lot of time to training Natalie and preparing her body for this incredibly intense film.

As I traveled around the world and worked with Natalie, I was simultaneously working on the business, and building my website so I would be ready when the film hit the theaters. I knew that the launch of Black Swan was going to be a special moment for me as a businesswoman and did everything in my power to make sure Ballet Beautiful was up and running. This was a huge boost for the company because Black Swan brought ballet fitness to the forefront.

STYLE SALUTE: How did your professional ballet background help build this company?

MHB: The discipline of dance and the work ethic that ballet instilled in me has closely informed the way that I have built the company. When starting a business you have to invest a lot of time and energy to see a return, and that return is not necessarily immediate. STYLE SALUTE: What is it like teaching ballet from a fitness perspective to non-dancers, as opposed to teaching a classic ballet class?

MHB: It’s very different. Ballet Beautiful is a great workout for anyone. It’s terrific cross-training for a professional dancer but you don’t need dance experience to use and love the workouts. Our target client is the woman who loves ballet, danced as a child, or maybe never danced at all, but is looking to infuse her day with the strength, grace, and beautiful elements of ballet. I’m trying to connect the artistic elements of ballet with a workout anyone can use. We see that our clients either gravitate toward workouts that are very close to a ballet class, or on the other end, focus on extreme fitness and toning.

Some people want to feel like they’re dancing with the true ballet experience, and others want to just look and feel their best. STYLE SALUTE: What’s one thing you didn’t know before you started that you wish you knew?

MHB: I certainly wouldn’t have guessed how much work starting a business would be! I’m not sure that knowing that would have changed much for me but it is a reality for any business owner.  My advice would be to be as big picture as possible when setting goals. Don’t just think about your existing connections, but always look to make new friends a long the way. And while asking for help and guidance is incredibly important, you must also be true to what is important to you without being swayed by other people. No one will have your exact vision and that’s okay.

You have to trust yourself and your beliefs as a businesswoman, because there are always going to be people that say no or tell you that your dream cannot be accomplished. You must have a very strong, clear concept of what you want. At the end of the day you have to be willing to work harder and longer than anyone else to make that dream come true.

STYLE SALUTE: Thanks to your touch, Natalie Portman made fame as the feature role of Nina in Black Swan. Can you tell me more about the routine you used to get Natalie Portman into ballerina shape so quickly?

MHB: Natalie and I worked together for over a year before the filming for Black Swan even went into production. That was a huge commitment on Natalie’s part, she worked incredibly hard to prepare for the role. We were doing about two hours of Ballet Beautiful every day – toning work, stretching, trying to get her body to move and look like a dancer visually. We needed to develop a very solid base strength to prepare her body for the more challenging dance sequences and keep her injury free on set. For example, we spent hours doing very simple, tedious exercises for the toes to strengthen her feet and prepare them to dance on pointe for the first time.

I also incorporated additional cross training with swimming as a low impact form of cardio to build strength and stamina. One of my goals as her trainer was to make her look and move like a dancer, but also to get through the project healthy and injury free.

So, while there are plenty of creative ways to get to the top, there is that one common denominator we’ve noticed: time-management.

Your time is your most valuable resource, and the more efficiently you spend it, the better. Now that’s success.

One of the most effective tactics for getting more done and getting your time back is simply not to get lost in menial tasks. I’ve learned from personal experience that mindlessly performing tasks (scheduling meetings, spreadsheet work, and booking flights) is a recipe for inefficiency, disconnection, and even burnout. Reversely, the benefits to my productivity, happiness, and health when I have more time to do my work well and spend quality time with family is well established.

To that end, between work, social engagements, and spending quality time with family and friends, I’m always searching for the latest and greatest productivity hack to try, and I’ve tried them all. From different to-do check off apps to sending emails to myself to set, I’ve literally run the gamut when it comes to finding ways to get my time back.

But thanks to a new personal assistant service I recently tried, I feel like I may have discovered the holy grail of productivity hacks—one that doesn’t even require me to do more work.

To maximize my productivity and reach my goals, I turned to Fin, a personal assistant service that I delegated tasks to easily via email and text. This service is the brainchild of Sam Lessin and Andrew Kortina, founders of the mobile payment service Venmo (maybe you’ve heard of it). What they set out to do is help a large number of people who want help managing their lives but don’t need a full-time assistant.

Last month I tested the personal assistant service. Here’s what I found.

How I Used Fin

On Day 1 of signing up with Fin, my hopes are not very high, to be honest. I thought, “How can this be different from Alexa and Siri.” Boy, was I wrong.

After signing up on their site, Fin gave me a dedicated email address that I could send in requests to. The first task I wanted to give Fin is to roll over my old 401k from a previous employer to Ellevest, a robo-advisor for women that I had heard of and was dying to try. It’s a prime example of my most dreaded task, money management, getting checked off my list.

With email, I ask Fin to look into my old account and call ADP to find out where my 401k is from an old employer and how much was in it. Later in the day, I provide Fin with some information about ADP logins and account information they requested.

By the end of the day, Fin provided me the information for the 401K from ADP ( I actually had more than one) and let me know that they had set up my account with Ellevest in 30 minutes. All I had to do from there is respond to the email from Ellevest that was sent to me that told me, as the last step, I need to call ADP and have the check made out to Folio investing and have it sent over to them. Done! I had been wanting to do that for months (3 years if I’m being honest).

Getting In The Habit of Using Fin

Later that week, I give Fin a task to find a new vet for my puppy that’s cage free and also offers to board for travel. I have already found one very, but I asked Fin over voice-to-voice text if it can find something better. I also asked Fin to send flowers to my mom for her birthday. All Fin asked from me was my old vet’s information, my mom’s home address, what flowers she loves (pink roses, of course), and my budget.

Fin took care of the rest. I spend most of my day in Slack, and it was amazing to see that I can also send requests to Fin via Slack as well.

Siri, Alexa, and Google Home Will Get You Only So Far

So what differentiates Fin from Alexa and Siri? For me, the big difference is that fin is a real human that uses tech to do the tasks. And because Fin is a real human, it has the ability to learn my habits.

I noticed from my first interaction with Fin that when I voice text Fin I was on a budget for the vet and the flowers, Fin knew to send me a few options, all within budget.  I was provided with a few choices—all within budget.

Fin can remember things like my favorite restaurants, any preferences I have, recurring purchases, credit card information, and more.

I also spend most of my day in Slack, and it was great to learn that I can send requests to Fin via Slack as well.

In my last article, The Case for Investing Over Saving—Make Money Like a Woman, we briefly touched upon looking for a fiduciary when you’re ready to invest. If you’re like me, that particular F-word got you to stop and think:

What exactly is a fiduciary? Being a fiduciary means that since you’re an SEC-registered investment advisor and you’re obligated to act in their clients best interests — and it means that you’re always chosen to be held to a higher standard. After all, when you’re divulging such important information about your personal finances to someone, you want to know that they have your best interests at heart.

It’s important to know that not all wealth managers are fiduciaries, but rest assured: There are trustworthy fiduciaries. Ellevest is one of them. That said, let me ask you: when was the last time you really thought about what you spent your money on? Not easy, right? This brings me to Finance Diaries, Style Salute’s daily series that focuses on incredibly insightful personal finance tips.

By now, you know how important saving is, and you also know you should be thinking about your future. Still, you also want to spend that hard earned cash. Amiright?

Clothes and beauty products are oh so fun to purchase, but just how much of your paycheck should you be spending on these wants?  To answer this burning question, we tapped Sallie Krawcheck, co-founder, and CEO of Ellevest, to offer her tried-and-true advice for getting your finances on track.

Before you say, “I’m too young too old (or too young) think about spending habits,” or “I know I’m managing my spending OK,” remember the last time you were at work having one of those, “Where did my money go?” moments? That passerby thought is exactly why you need to budget your money.

Establish solid spending habits so you know exactly where your money is going every month with the help of Krawcheck’s steps, below.

The 50/30/20 Rule

New to budgeting? Try the 50-20-30 rule to figure out how much you should be spending on the essentials, clothes, beauty and the rest every month. It goes like this: Fifty percent of your take-home pay should go to your needs: rent, food, insurance, and other basics. Thirty percent goes to fun. And 20 percent goes to your future.

So let’s break this down: Fifty percent should go to your necessities (shelter, food, and must-haves like insurance). Next, Thirty percent can go to your wants. Yep. That means you can spend it on dining out, going to the latest music festival,  shopping for that new trend of 2018or scoring the latest beauty product. So what about that last twenty percent?

It turns out this is the most important part. According to Krawcheck, this twenty percent should go towards Future You. “Investing is one of the most important things you can do for yourself. It can build your wealth — not by a little, but by enough to make a real difference in your life,” says Krawcheck. In fact, investing in your future is so important that Krawcheck has made this habit the first rule in Ellevest’s newest publication, “The Go-Getter’s Guide to Investing.” In this guide, she breaks down the five essential rules of investing and doing away with the bull to help you invest in your goals like — *snaps fingers* — that.

Retirement Plans 101

The first place you should save your twenty percent is your employer-sponsored 401(k) plan. If your employer offers to match your contribution to a 401(k) or similar retirement plan, definitely take advantage of that benefit. “It’s basically free money,” says Krawecheck.

This money comes directly out of your paycheck before it hits your bank account. Plus, a major advantage of investing here is your contributions are made pre-tax. That means you are investing your money before it’s taxed, which in turn reduces your tax liability for the year you contribute. Plus, it allows you to stretch your savings even further. This money is only taxed when you withdraw in retirement.

So, what if you have a few accounts open from different employers? Not All Debt is Bad Debt

Debt. Many of us will take on debt at some point in our lives, which as Krawcheck notes, enables us to go to school or buy a home when we otherwise couldn’t. Having debt can be nerve-wracking, but remember: Some debt can be “good,” but much of it is “bad.”  And too much debt…when you can’t see your way to repay it is always bad. Krawcheck’s rule of thumb? “If you have credit card debt, pay it off now.”  Do this and you can focus on investing in your future and still have enough for that online shopping habit.

One form of potentially good debt that you can have and still invest is student loan debt. A great education can lead to a more interesting job, which can increase your earnings. can be as low as 3.4%, or can range up to 6.8% (possibly higher, depending on when the loan was taken out.) If you’ve been making your payments on time, pick up the phone and ask for a lower rate or if you have student loans, putting them on autopay, which can help you save 0.25% from most lenders (a fun little tip we learned). And look at sites like Lendkey to refinance.

So, what should you do if you have the money to pay off “good” debt?

It’s complicated. But, at Ellevest, their view is that if the interest rate on your debt is less than 4%, you should consider investing in a low-cost diversified portfolio before fully paying off your loans. That’s because annually investing returns have historically exceeded that number. However, if you plan on keeping your money in a savings account (where it earns much less than 4%), you’re better off sticking to paying down your loans — even if they’re low-interest. So, over time, it can make sense to keep that debt outstanding and invest in the markets, to earn the difference between the two. More on tackling student debt so you’re free to invest here.

What To Do If You Haven’t Started Saving

Getting rid of that high-interest debt is just the first step to saving. No matter what stage of life you are in, you need to be saving. An emergency fund should be at least three months of take-home pay, in case you get fired (hey, it happens to the best of us ), or in case you have to take time away from work for, you know, an emergency. That money should be held in cash. Good news?
